These Terms of Use govern your access to and use of the Parent Portal website and platform (the “Service”) operated by Parent Portal Ltd (“we”, “us”, “our”). By accessing or using the Service you agree to be bound by these Terms. If you do not agree, you must not use the Service.

1. Who We Are and How the Service Works

Parent Portal provides a secure platform that schools and nurseries (“School”) use to share information with parents and guardians. For data within the platform, the School decides what is collected and displayed. Parent Portal Ltd provides the technology and support.

2. Eligibility and Accounts

  • You must be at least 18 to register your own parent account. If you are under 18, you may only use the Service through a parent or guardian or as a member of school staff authorised by the School.

  • You are responsible for keeping your login details confidential and for all activity under your account. Tell us and your School immediately if you believe your account has been compromised.

3. Roles and Responsibilities

  • School: Controls the information about pupils and determines what is shared. The School is responsible for accuracy and for responding to data subject requests relating to pupil and parent data inside the platform.

  • Parent Portal Ltd: Provides the platform and processes personal data for the School. We also act as the controller for data collected on our marketing website and support channels.

4. Acceptable Use

  • Do not upload, share, or transmit content that is unlawful, harmful, defamatory, discriminatory, or invasive of privacy.

  • Do not attempt to gain unauthorised access to the Service or related systems, or disrupt, interfere with, or overload the Service.

  • Do not copy, modify, reverse engineer, decompile, or attempt to extract source code except where this is permitted by law.

  • Use the Service only for School and family communication purposes as intended.

5. Your Content

  • You retain ownership of content you submit. You grant the School and Parent Portal Ltd a limited licence to host, process, and display that content solely to provide the Service.

  • You confirm you have the right to share any content you upload and that it does not infringe third party rights.

6. School Content

Content provided by the School, such as reports and attendance data, is the responsibility of the School. If you believe School content is inaccurate, contact the School directly.

7. Service Availability and Changes

We aim to keep the Service available and performant. Maintenance, updates, and improvements may require temporary interruptions. We may change or discontinue features at any time to improve the Service or for legal, security, or operational reasons.

8. Support

Support is available via our contact page. School specific questions or changes to pupil data should be addressed to the School.

9. Fees

Parents and guardians usually access the Service without charge. Some Schools may enable paid features such as top ups or shop purchases. Payments are handled as instructed by the School and processed through integrated payment providers. Any platform or payment terms will be shown at checkout if applicable.

10. Intellectual Property

All intellectual property in the Service, including software, design, and logos, is owned by Parent Portal Ltd or its licensors. Nothing grants you any rights other than the limited right to use the Service in accordance with these Terms.

11. Privacy and Data Protection

Your use of the Service is subject to our Privacy Policy. For platform data, the School is the controller. Parent Portal Ltd acts as processor and implements appropriate technical and organisational measures to protect personal data. For details see our GDPR and Security Statement.

12. Security

We use industry standard security including encryption in transit and at rest, access controls, monitoring, and regular security testing. Live hosting is on OVH UK. Encrypted backups are stored on Wasabi UK. No system is perfectly secure and you understand that you use the Service at your own risk.

13. Third Party Services

The Service may include links to third party websites or integrations managed by the School. We are not responsible for third party content or policies. You should review any third party terms and privacy notices.

14. Suspension and Termination

  • We may suspend or terminate access if you breach these Terms, if required by law, or if directed by the School.

  • You may stop using the Service at any time. Account closure within a School is coordinated through the School.

15. Disclaimers

  • The Service is provided on an “as is” and “as available” basis. We do not guarantee that it will be error free, uninterrupted, or that defects will be corrected immediately.

  • School provided content is the responsibility of the School. We do not provide educational, legal, safeguarding, medical, or other professional advice.

16. Limitation of Liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under law. To the fullest extent permitted by law, Parent Portal Ltd will not be liable for lost profits, loss of data, business interruption, or any indirect or consequential loss arising out of or in connection with your use of the Service. Our total aggregate liability to you for any claims arising from the Service will not exceed the greater of £100 or the amount you paid to us for the Service in the 12 months before the claim.

17. Indemnity

You agree to indemnify and hold harmless Parent Portal Ltd from claims arising out of your unlawful use of the Service or violation of these Terms.

18. Changes to these Terms

We may update these Terms from time to time. We will post the new Terms on this page and update the “Last updated” date. If changes are material we will take reasonable steps to notify Schools and users.

19. Governing Law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, although if you are a consumer resident in Northern Ireland or Scotland you may also bring proceedings there.
